What Information We Collect

We collect the following types of information:

  1. Customer Account Information – When you register, place an order, or contact us, we may collect your name, email address, mailing address, phone number, and payment details.

  2. Software Data (Limited Cases) –

    • Report Runner Settings Backups – configuration data may be backed up locally on your machine and optionally uploaded by Known Keep to a unique AWS S3 bucket for recovery purposes.

    • PDF Board Reports – customers may optionally store PDFs in a unique AWS S3 bucket provisioned by Known Keep.
      Other than these two services, Known Keep does not host or process customer data.

  3. Website Usage Data – We may use cookies and analytics tools to understand site traffic and improve our services.

We do not knowingly collect data from anyone under 13 years of age.

How We Use Information

We may use collected information to:

  • Provide, support, and improve our products and services.

  • Process transactions.

  • Respond to customer service requests.

  • Send service updates and, where permitted, occasional product communications (with opt-out).

We do not sell your personal information.

Cookies

We use cookies and similar technologies for:

  • Strictly Necessary – to enable core functions like secure logins and shopping carts.

  • Performance/Analytics – to measure site usage and improve performance.

  • Functionality – to remember user preferences.

  • Advertising/Targeting – only if you consent, to deliver relevant content or measure marketing effectiveness.

We use reasonable technical and organizational safeguards to protect data. Sensitive payment details are handled by secure third-party payment processors and are not stored on our servers.

Sharing Information

We may share information with trusted service providers (“sub-processors”) that help us operate our services, process payments, or provide cloud hosting. These providers are contractually obligated to protect your data. We may also disclose information if required by law or to protect rights, safety, or property.

  • Requests relating to backups or PDFs (as described above) must be directed to your organization, as Known Keep processes that data only on their behalf.

  • For account, billing, or marketing data we control, you may contact us directly. We will comply with applicable data protection laws.

Data Retention

We may retain Report Runner settings backups and PDF Board data for up to ten (10) years, or shorter if we determine it is no longer necessary, or until you request deletion. We are under no obligation to maintain a backup and make no guarantees that any backup will be available.

Your Consent

By using our site or services, you consent to this Privacy Policy.

Changes

We may update this Privacy Policy from time to time. Updates will be posted on this page with a revised effective date.
